We help manufacturing companies compare automation options and prepare structured project briefs for Germany and Poland.

As we are established outside the EU/EEA but offer services to customers in the EU, we have appointed an EU representative under Article 27 GDPR:

When you use the Project Builder or contact forms, we may collect: production parameters, company name, contact person name, phone number, email address, country, region and source page. We also collect consent choices (including the timestamp and version of any consent you give) stored locally in your browser and with your submitted request.

When an integration company uses the integrator pilot contact form, we may collect the representative's name, company, email address, region coverage, supported cobot brands, application coverage and the related partnership-interest consent record.

• Contract performance / pre-contractual steps (Art. 6(1)(b) GDPR): processing your production parameters and generating a preliminary cobot specification in response to your request.
• Consent (Art. 6(1)(a) GDPR): processing your contact details (email, phone, company name, contact person) to prepare your cobot specification, review your automation request and respond about next steps, given via the checkbox on our form. This consent does not currently cover sharing your lead with external integration partners. You may withdraw this consent at any time without affecting the lawfulness of processing carried out before withdrawal.
• Consent (Art. 6(1)(a) GDPR): processing integrator representative contact details and company capability information to evaluate partnership interest, respond about the integrator pilot and keep a record of that inquiry, given via the separate integrator form checkbox. This is separate from manufacturer Project Builder consent.
• Consent (Art. 6(1)(a) GDPR): analytics cookies (GA4, Microsoft Clarity), only after you accept them in the cookie banner.

We use essential browser storage to remember your cookie choice. GA4 and Microsoft Clarity are loaded only after you accept analytics cookies. If you reject analytics, those tools are not intentionally started by BotNots.

Submitted form data is used to prepare a preliminary cobot specification, review the request, improve marketplace quality and respond about next steps.

At this stage, BotNots does not automatically share submitted lead details with external robotics integrators, manufacturers or brand partners. Submitted lead details are processed inside BotNots using request-handling tools, currently including Cloudflare-hosted lead storage, Google Sheets API as an operational lead log, and a Telegram-based internal notification to the BotNots founder/team.

Integrator pilot inquiries are handled separately from manufacturer Project Builder leads. They are used inside BotNots to evaluate possible pilot participation and are not presented publicly as partner status or shared as buyer leads.

If BotNots later launches an external partner network or starts sharing leads with independent integrators, this Privacy Policy will be updated first. Where GDPR requires it, users will be notified and asked for a new or additional consent before that sharing takes place.

Our website infrastructure is hosted via Cloudflare, and part of our request-handling tooling, including Google Sheets API and messaging-based dispatch, may process data outside the EU/EEA depending on provider configuration and routing. Where this occurs, we rely on appropriate safeguards recognized under GDPR, including Standard Contractual Clauses, to ensure your data receives an equivalent level of protection.

Lead and contact data submitted through the Project Builder is stored in our operational lead log, including Google Sheets, while we process your inquiry. We review the lead log at least once per quarter and archive, delete or anonymize records that are no longer needed. Unless there is an active project, legal requirement or unresolved support issue, lead records are deleted or anonymized no later than 24 months after the last meaningful contact. You may request earlier deletion at any time (see Section 10).

Under GDPR, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data; withdraw consent at any time; object to or request restriction of processing; data portability; lodge a complaint with your local data protection authority.

For deletion requests, we locate the record by email address, lead reference, company name or phone number, delete the matching row from the Google Sheets lead log, and remove or anonymize the matching backend storage record where applicable.
